The Food & beverage administrator is responsible for providing administrative support for the Food & Beverage department. Assisting with tasks like invoice processing, stocktaking, order placement, reservations and other administrative duties. As a key member of the team, you will assist with administrative tasks, coordinate between departments, and ensure operations run efficiently. This role requires strong organisational skills, attention to detail, and a passion for delivering excellence behind the scenes.

Key Areas of Activity

  • Provide administrative support to the Food & beverage team, including scheduling, record-keeping, taking minutes from meetings and correspondence.
  • Manage supplier relationships, process invoices, and track budgets to ensure smooth procurement and cost control.
  • Delivers efficient and effective administrative processing of raising purchase orders and matching invoices to purchase orders.
  • Dealing with supplier queries.
  • Raises and processes timely invoices, collaborating with Finance on associated analysis
  • Coordinate departmental communication, assisting with reservations, event planning, and internal updates.
  • Liaising with other departments for Club Life Events (e.g. creating MRF’s for posters and other collateral or coordinating with IT department for technical assistance).
  • Edit and put together BEOs where needed, and pre-settling BEOs/invoices from events.
  • Attends weekly and bespoke meetings when required
  • Maintain accurate records of stock levels, training materials, and operational procedures.
  • Support compliance by ensuring documentation aligns with health, safety and licensing requirements.
  • Develops positive and productive relationships with key stakeholders and functions, understanding service offering, products, and level of quality expected by Members
  • Executes additional ad-hoc tasks to meet the Club objectives as advised by manager.

  • Comfortable with data and reporting, including budgets and procurement tracking.

  • Highly disciplined and self-organised, naturally attuned to delivering excellence
  • Passionate about hospitality and eager to support the success of the Food & Beverage team.
  • Competent in using Microsoft Office.

Qualifications

  • Business Administration (Level 4) or similar (desirable)
  • Has previous experience as a Food & Beverage Coordinator or Food & Beverage Administrator.
