Accounts Receivable Clerk

The Accounts Receivable Clerk will be managing and processing all incoming payments, ensuring accurate and timely billing, and maintaining strong financial records. The ideal candidate will possess strong analytical skills, attention to detail, and the ability to work well under pressure in a fast-paced hotel environment.

Invoice Management:

• Prepare and send invoices to guests, corporate accounts, travel agents, and other relevant parties.
• Ensure all invoices are accurate, complete, and timely.
• Follow up on outstanding invoices to ensure prompt payment.

Payment Processing:

• Record and process payments received via credit cards, checks, bank transfers, and cash.
• Reconcile payments and apply them to the correct guest accounts.
• Ensure all transactions are recorded accurately and in a timely manner.

Collections:

• Follow up on overdue accounts and work with guests or corporate clients to resolve payment issues.
• Establish and maintain relationships with customers to facilitate payment collection.

Customer Service:

• Address guest inquiries regarding billing discrepancies, refunds, and payment issues.
• Resolve issues and escalate them to management when necessary.

Account Reconciliation:

• Reconcile daily accounts receivable reports and balance them with the hotel’s general ledger.
• Assist in monthly, quarterly, and year-end financial close processes.

Record Keeping:

• Maintain accurate and organized records of all financial transactions.
• Ensure proper documentation is in place for all payments, refunds, and adjustments.

Reporting:

• Generate and provide regular reports on outstanding receivables and aging accounts to management.
• Assist with preparing financial statements as required.
