Rate of pay: £32,032 per annum

 

Key Requirements

• Keeping front of house, meeting rooms & general office appearance tidy, clean and safe. Lead by example and follow clear desk policy.
• Manage the switchboard in accordance with the company standards. Direct & relay incoming messages and emails.
• Preparation of meeting rooms & office in accordance with company opening and closing procedures.
• Liaise with PAs and Co-Ordinators with the support of all meeting room bookings.
• Identify and highlight any meeting room conflicts and manage the operational process for booking the meeting rooms.
• Manage meeting rooms diaries and the transition between meetings. Set up and assist of IT in meeting rooms & office to allow for Hybrid meetings.
• Conduct daily conflict checks, summarise, and report a weekly summary of the conflict checks.
• Set up new projects in accordance with the Quality Assurance standards.
• Update and maintain the Client Relationship Management system.
• Office support – i.e., printing, pdf editing, scanning, photocopying, binding, and archiving.
• Maintain and order office supplies including stationary.
• Ensure that all maintenance issues are reported and followed up appropriately.
• Booking of couriers and management of incoming/outgoing post.
• Assist Workplace Manager with facilities/office projects.
• Assist with the setup of new starters and leavers, alongside tracking office essentials such as keys handed out.
• Support in organisation of office-based events.
• Arranging travel and booking accommodation.
• IT queries/issues including mobile phones and Vodafone portal.
• Daily office maintenance – ie printers, photocopiers, washing up, loading/unloading dishwasher.
• Aid the wider operational support team as and when required and cover for absent team members as necessary.
• All other ad hoc duties as reasonably required from time to time.
• Create a one team ethos with service partners.

Technical skills:
• Advanced Outlook, Word, Excel, and PDF editing
 Organisation and control
• Excellent personal/work organisational skills: planning, ability to prioritise, flex, multi-task, and complete work to tight deadlines.
• Excellent spelling and grammar with attention to detail and accuracy at all times
• Ability to adapt and remain calm and unflappable in pressured situations.
• Ability to work as part of a team but also autonomously when require.


Communication & relationship management
• Ability to communicate and work effectively with all internal and external stakeholders and other members of the Operational Support Team to help maintain a productive and supportive team environment.
• Ability to communicate effectively with people – internal and external at all levels – maintaining an outgoing, friendly, and can-do approach with all parties at all times.
